Caregiver Double Booking

and Couples Care

Caregiver Double-Booking is a feature that allows a caregiver to be assigned to more than one shift at the same time. This has a wide variety of applications but the most common involves Couples Care cases.

By default, Rosemark does not allow caregivers to be assigned to multiple shifts at the same time. If you need double-booking enabled please contact our Customer Success team at 734-662-3537.

You’ll want to create two dedicated services for couples care. One you will configure normally with the appropriate pay and bill rates. The other will have $0/hr pay and bill rates, we refer to this as a No Bill/No Pay service. You’ll also configure this service as Ratio Per Hour with the ratio set as $0 per 0 hours out of 24. This ensures that the caregiver’s duplicate assignment does not contribute to overtime.

Add the standard Couples Care service to  the profile of one client, and the No Pay/No Bill Service to the second client.

Once Enabled

  • Go to the client’s profile and select the service you want to allow double-booking on.

  • Click the View Service Button

  • From the Client Service window click the File menu and select “Allow Caregiver to be Double-Booked”

  • A caregiver can now be Assigned, Tentatively Assigned, or Offered a shift on this Service despite being Assigned to another Service.
  • This step will also need to be completed for the other client.

Once Services for both clients have been configured to Allow Double Booking, you can begin scheduling shifts.

  • Add a schedule or create shifts for the first client using the Couples Care Service.
  • Assign these shifts to the caregiver.

  • You can now add a schedule on the second client’s no bill/no pay service. You’ll notice that you can assign the caregiver even through they are already assigned to the other client.

  • Both client schedules assigned:

Once you have the couples care service scheduled for both clients, you’ll add a normal hourly service to both client profiles This is to be used in the event that one of the clients is hospitalized, or out of town. This ensures that the client still receiving care is billed appropriately under the normal hourly rate.
